This policy applies to all aspects of our services, including cleaning, property maintenance, and associated operations.

2. Responsibilities

2.1 Management Responsibilities

The management of HD1 Solutions Ltd will:

• Ensure compliance with health and safety laws and regulations.

• Provide adequate resources for health and safety management.

• Carry out risk assessments and implement control measures to reduce risks.

• Ensure employees receive proper training and information.

• Investigate and report accidents, incidents, and near-misses.

• Promote a culture of health and safety within the organisation.

2.2 Employee Responsibilities

Employees must:

• Take reasonable care of their own health and safety and that of others.

• Follow company health and safety policies and procedures.

• Use equipment and personal protective equipment (PPE) as instructed.

• Report any hazards, accidents, or near-misses to management.

• Participate in health and safety training and initiatives.

3. Risk Assessments

HD1 Solutions Ltd conducts regular risk assessments to identify potential hazards and implement control measures. Risk assessments will cover:

• Cleaning chemicals and substances (COSHH regulations).

• Slips, trips, and falls.

• Manual handling.

• Working at height (e.g., window and gutter cleaning).

• Use of electrical and mechanical equipment.

• Lone working and site security.

All employees will be informed of relevant risk assessments and control measures.

4. Safe Working Practices

4.1 Cleaning and Maintenance Operations

• Ensure proper use and storage of cleaning chemicals, following COSHH guidelines.

• Use appropriate PPE (e.g., gloves, masks, goggles, high-visibility clothing).

• Follow safe working procedures for deep cleaning, mould remediation, and damp solutions.

• Secure work areas to prevent risks to employees, clients, and the public.

4.2 Manual Handling

• Assess lifting tasks before performing them.

• Use mechanical aids where possible.

• Follow proper lifting techniques to avoid injury.

4.3 Electrical and Equipment Safety

• Conduct regular inspections and maintenance of cleaning and maintenance equipment.

• Ensure only trained personnel use electrical and power tools.

• Report and remove any faulty equipment immediately.

4.4 Working at Height

• Use suitable ladders, scaffolding, or access equipment.

• Ensure proper training in working at height.

• Carry out pre-use checks on ladders and harnesses.

4.5 Lone Working

• Implement a lone worker policy, ensuring staff check-in regularly.

• Provide mobile communication devices for lone workers.

• Conduct risk assessments for lone working situations.

5. Training and Supervision

HD1 Solutions Ltd will provide employees with adequate health and safety training, including:

• Induction training for all new employees.

• Specific training for tasks involving chemicals, manual handling, and working at height.

• Refresher training as needed.

Supervisors will monitor adherence to safety procedures and provide ongoing guidance.

6. Incident Reporting and Emergency Procedures

• All accidents, incidents, and near-misses must be reported and recorded in the accident logbook.

• Investigations will be conducted to prevent recurrence.

• First aid provisions will be available on all work sites.

• Emergency evacuation procedures will be communicated to all employees.

7. Review and Monitoring

This policy will be reviewed annually or following any significant changes in legislation, work practices, or incidents. Employees are encouraged to provide feedback on health and safety matters.

This policy applies to all employees, agency workers, contractors, suppliers, and business partners engaged with HD1 Solutions Ltd. It covers all our operations, including cleaning services, property maintenance, and procurement of goods and services.

4. Identifying and Preventing Modern Slavery

We take the following steps to prevent modern slavery:

• Contractual Obligations: We require suppliers and contractors to confirm their commitment to ethical practices.

5. Reporting and Investigations

If modern slavery is suspected, employees, suppliers, or stakeholders must report it immediately to management or via our confidential reporting process. All reports will be investigated, and appropriate action will be taken, including terminating relationships with non-compliant suppliers or reporting to authorities where necessary.

6. Training and Awareness

We provide training to employees on recognising the signs of modern slavery and human trafficking. This ensures all staff understand their responsibilities and how to report concerns.

7. Policy Review

This policy will be reviewed annually and updated as necessary to reflect changes in legislation or business operations.
